Guidelines
1. The aim of the Pembroke Wood Residents Association is to improve and maintain the environment of the Pembroke Wood estate and the services received by its residents and to work together for common aims.
2. The Residents Association will have a Chairperson, Treasurer and Secretary.
3. The function of the Chairperson is to guide the Association to achieve its aims, to chair the meetings of the Association, to ensure that everyone can contribute and to liaise with the secretary in preparing the agenda for the meetings.
4. The function of the Secretary is to take minutes of the meetings, to write and receive letters on behalf of the Association, to keep members informed of correspondence and to manage the Assoociation website.
5. The function of the Treasurer is to open a bank account, to pay money into this, to keep records of incomings and outgoings and to prepare an annual financial statement.
6. The Committee will, in so far as possible, comprise representatives of all roads in the Pembroke Wood / Maple Rise estate.
7. The Committee will meet at least once each month for 9 months of the year. Unless otherwise agreed, there will be no meeting in August & December.
8. The Association will operate at all times without prejudice to age, citizenship, disability, ethnic origins, gender, health status, marital status, medical status, race, religion, residency status, sexuality or the actual or perceived status or association with any of the foregoing.
9. This website will be the primary communication channel between the Committee and Pembroke Wood residents. Additional communications will be carried out by Committee members to their immediate neighbours as appropriate.
10. Decisions shall be made according to a simple majority vote, indicated by a show of hands.
11. Committee members are required to attend all meetings. If this is not possible, they should organise a stand-in. If a committee member misses 2 or more meetings in a row, without sending a replacement, they may be asked to step down from the Committee and another member will be sought to represent their area in the estate. If a member is unable to attend, they should inform the secretary in advance of the meeting.
12. The Committee is an independent, voluntary organisation. A new Committee will be elected annually.
